Privacy Policy — Shule Core Platform
This Privacy Policy explains how Sino Soft ("we", "us", "our") collects, uses, and protects information when schools, staff, students, and parents use Shule Core, a multi-tenant school management platform accessible at shulecore.com and its associated mobile applications.
This policy applies to the platform as a whole. Separate, more specific notices apply to teachers/staff and to students/parents — see the Teacher/Staff Privacy Policy and Student/Parent Privacy Policy for details relevant to those roles.
Consent
By creating a Shule Core account, subscribing on behalf of a school, or otherwise using the platform, you consent to this Privacy Policy and agree to its terms.
Information We Collect
We collect information necessary to operate the platform, including:
- Account and contact information (name, email address, phone number, role)
- School and institutional information (school name, address, registration details, billing information)
- Usage data (login activity, feature usage, device and browser information)
- Payment and billing records processed through our payment partners
- Support communications, including the contents of messages and attachments you send us
Each school, as the data controller for its own students' and staff's records, determines what additional data (academic records, attendance, fees, communications) is entered into the platform on their behalf. Sino Soft processes this data as a data processor acting on the school's instructions.
How We Use Information
- To provide, operate, and maintain the Shule Core platform
- To process subscription billing and payments
- To provide customer support and respond to inquiries
- To improve, personalize, and expand platform features
- To monitor platform security and prevent fraud or abuse
- To send service-related communications, including billing notices and product updates
Data Storage and Multi-Tenancy
Each subscribing school's data is stored in a dedicated, isolated database. School data is not shared across tenants. Access is restricted to authorized users within that school and to Sino Soft personnel where necessary for support, maintenance, or legal compliance.
Log Files and Analytics
Shule Core follows a standard practice of using server log files that record visitor information such as IP address, browser type, internet service provider, date and time stamps, and pages accessed. This information is used to analyze trends, administer the platform, and improve reliability. It is not linked to information that personally identifies an individual beyond what is necessary for security and troubleshooting.
Third-Party Service Providers
We use third-party providers for functions such as payment processing, cloud hosting, push notifications, and email delivery. These providers are contractually bound to protect data they process on our behalf and may not use it for their own purposes.
Data Protection Rights (Kenya Data Protection Act, 2019)

Children's Information
Shule Core is used by schools to manage records relating to students, some of whom are minors. Student data is entered and managed by schools and their authorized staff, not collected directly from children by Sino Soft. Data Retention
We retain school data for as long as the school's subscription is active, and for a reasonable period afterward to allow for data export, in accordance with our data retention procedures and applicable law. Schools may request export or deletion of their data by contacting [support email].
Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated to school administrators via email or in-app notice.
